Streamline Your Asset Approval Process with Aroopa Forms and Flows

Discover how to effortlessly create a robust asset approval workflow using Aroopa's powerful Forms and Flows platform. This step-by-step guide will walk you through the process of building a customized form to capture asset requests, setting up automated email notifications, and configuring approval routing. Create an Aroopa form:

  1. Log in to your Aroopa dashboard and go to Forms.
  2. Click Create Form and give your form a name.
  3. Add input fields for employee ID, email ID, phone number, approver name, approver email, and comments.
  4. Add a select control for employees to choose the asset type.
  5. Enable analytics for the select control to track request ratios.
  6. Add a submit button.
  7. Set the form status to Active to start collecting submissions.


Create an Aroopa flow:

  1. Go to Flows and click Create Flow.
  2. Name your flow Asset Approval.
  3. Add a Trigger Node and select Form Submission as the trigger type.
  4. Choose the form you created in step 1 as the source.
  5. Add an Email Node to send an automatic email to the form submitter with submission details.
  6. Add an Approver Node to assign the approver and send them an email with the form details.
  7. Add an Update Fields Node to update the form status based on the approver's decision (approved or rejected).
  8. Add email nodes to send approval or rejection emails to the submitter based on the approver's decision.
  9. Save the flow.


Now, whenever a user submits the asset request form, an approval workflow will be triggered, and the approver will receive an email to review and approve or reject the request. The submitter will receive an email notifying them of the approver's decision.

  2. You can add multiple approvers to the workflow if needed.
